Container Export Process

  1. Firstly, confirm the freight rates and corresponding shipping schedules.

Be sure to confirm prices in detail to avoid disputes after placing an order. The deadline for the ship schedule must be clear to prevent missing the time for additional materials due to errors or other issues. If unsure, ask the shipper or clarify with the supplier whether it's a full container or breakbulk, if there's branding, dimensions, and usage, etc.

2. Booking a shipping space

Customers need to book space for ocean shipping to Africa as soon as they confirm the shipment. The business team will assist in filling out an order manifest and then book space with the supplier based on the customer's information. Booking details include: origin port, destination port, commodity name, weight, volume, which shipping company, which wharf for loading, the cutoff date for the ship, what type of container, method of payment for freight and additional charges, etc. The more detailed this information is, the better. The document issued is a Sales Order (SO), and the container loading usually takes place two days before the cutoff date.

3. Trailer

Pickup requires warehouse time after clearance, with the warehouse time being 7 days prior to the cutoff time. A Sales Order (SO) is required for loading, and the SO number must be provided to the customer or the trucking company upon arrival. The customer needs to provide loading time, location, and contact person. After filling out the trucking order based on the provided information and providing it to the trucking company, the trucking company will issue the container number, seal number, driver's mobile phone number, and license plate number on the day of loading. These are collectively referred to as driver information. After receiving them, send them to the customer for easy contact with the driver. Remind the driver to weigh the goods.

4. Customs Declaration

Prior to loading, remind the customer to provide a detailed packing list for confirmation by the customs broker. After the container is loaded, provide the customer with an accurate and detailed packing list, and remind them of the necessary documents to prepare. Avoid informing the customer of these requirements only at the customs clearance stage, as they may not be able to provide them. If the customer is unsure how to handle the packing list, offer a form for them to fill out, which will facilitate our providing suggestions and feedback. If the customer's goods are diverse, remind them to select the most important and abundant items. If the customer does not have a customs code, suggest they inquire abroad about which items are easier to clear customs.

5. Raw Material Supply

The supplementary material can be processed simultaneously with customs declaration. After the container is loaded, the customer needs to fill out the supplementary form, and we should remind them to write it in English and that every word must be accurate; any errors require changes, which will incur additional document amendment fees. Some freight forwarders can provide the completed form for the customer to verify. The supplementary materials include the Bill of Lading and the Shanghai Customs Code form, which can be self-inquired. Notes: the customs code is not displayed on the Bill of Lading. If the freight is collect, and the customer needs to use a letter of credit to pay the shipping fee, the name on the Bill of Lading must match the name on the credit. The customer might also inquire about filling in certain information on the Bill of Lading, which can be consulted with the shipper or the supplier to see if it can be displayed on the Bill of Lading or in the commodity name section. The supplementary materials must include a postal code. After confirming with the customer that everything is correct, submit the materials. It is crucial to check the confirmation copy of the Bill of Lading, ensuring every piece of information is accurately checked, letter by letter, to avoid losses. Also, send a copy to the customer for verification. Once both parties have verified, submit the confirmation copy, and remind the customer to proceed with issuing the original document accordingly.

6. Invoicing

Await invoice issuance, prepare the customer's invoice, and inquire whether they prefer to pay personally or on behalf of the company. Be meticulous when preparing the invoice; ensure no deductions are missed. We will only arrange payment to the supplier after the customer has made their payment. Mail the original invoice upon receipt and then prepare the profit and loss statement, which will finalize the transaction.

Barge

If the goods are shipped from Guangzhou, there will be issues with the barge, as the barge needs to be transported by an international transshipment vessel. For international transshipment, only one customs declaration is required, and the customs brokerage firm also requires the use of international transshipment. Therefore, it's necessary to clarify the transshipment vessel schedule with the supplier. The cargo must be loaded into the containers 4 days before the small vessel's departure. The supplier assumes the small vessel's bill of lading, but we need to confirm whether the customer wants the small vessel's bill of lading or the large vessel's bill of lading. The difference between the small vessel's bill of lading and the large vessel's bill of lading is the departure time, port of discharge, and vessel's name and voyage number (this is only for the short-haul port of discharge location, not the location for the large vessel). For the documents: When issuing the Certificate of Origin (CO), a copy of the bill of lading is not required, and the customer only wants to see the departure date.

8. Shipment commences, carrier's transportation
