Full Container Load Export Process
Firstly, confirm the freight rates and corresponding shipping schedules.
Ensure detailed pricing confirmation to avoid disputes after placing an order. Be clear about the shipment deadline to prevent missing the time for replenishing materials due to errors or other issues. If unsure, inquire with the shipper or clarify with the supplier whether it's a full container load or a loose cargo, whether branded, its volume, and purpose.
2. Booking a shipping space
When the customer decides to ship to Africa by sea, they should start booking the cargo space. Have the business assist the customer in filling out an order bill of lading, then book the cargo space with the supplier based on the customer's information. Booking information includes: origin port, destination port, cargo name, weight, volume, which shipping company to book, which wharf for departure, which ship's cutoff date, what type of container, payment method for freight, freight and additional charges, etc. The more detailed these pieces of information are, the better. The document issued is a Sales Order (SO), and the containers are usually loaded two days before the cutoff date.
Trailer
Pickup of containers requires warehouse time after clearance, with the warehouse time being: 7 days prior to the closing time. A Sales Order (SO) is required to load the container, and the SO number must be provided to the customer or the trucking company upon arrival. The customer needs to provide loading time, location, and contact person. After filling out the shipping order based on the provided information and providing it to the trucking company, the trucking company will issue the container number, seal number, driver's mobile phone number, and license plate number on the day of loading. These are collectively referred to as the driver's information. After receiving them, send them to the customer for ease of meeting the driver. Remind the driver to weigh the cargo.
Customs Declaration
Prior to loading the container, remind the customer to provide a detailed packing list for confirmation by the customs broker. After the container is loaded, ensure the customer provides an accurate and detailed packing list, and remind them of the necessary documents to prepare, avoiding last-minute discussions with the customer that may lead to unavailability. If the customer is unsure how to handle the packing list, provide a form for them to fill out, which will facilitate our giving suggestions and advice. If the customer's goods are diverse, remind them to select the important and bulkier items. If the customer does not have a customs code, advise them to inquire abroad about which items are easier to clear customs.
5. Material Replenishment
The material supplementing time can be carried out simultaneously with customs declaration. After the container is loaded, the customer needs to fill out the material supplement form, and we should remind the customer to write in English and that any mistakes must be corrected, as there will be an additional fee for form changes. Some freight forwarding companies can provide the completed form for customer verification. Material supplement information form: You also need to pay for the Shanghai Customs Code form, which can be self-queried. Note that the Customs Code is not displayed on the bill of lading. If it's collect on delivery and the user needs to use a letter of credit to pay for shipping fees, the name on the bill of lading must match the name on the letter of credit. The customer may also ask about filling out certain information on the bill of lading, etc. These can be consulted with the shipper or the previous party to see if they can be displayed on the bill of lading or in the product name column. The material supplement must include a postal code, and after confirming with the customer that there are no issues, it can be submitted. An important point is to verify the confirmation copy of the bill of lading, ensuring all information is checked letter by letter to avoid losses. Also, send a copy to the customer for verification. Once both parties have verified, submit the confirmation copy, and remind the user to issue the original based on this.
6. Invoicing
Await invoice issuance, prepare customer invoice accordingly. Inquire whether the customer will pay via personal or corporate account. Be meticulous when creating invoices; ensure no miscalculations. We will only arrange payment to the supplier after the customer has made their payment. Mail the original invoice upon receipt and then prepare the profit and loss statement. This concludes the transaction.
Barge
If the goods are from Guangzhou, there will be issues with barge shipping, as the barge needs to be transported on an international transshipment vessel. With international transshipment, only one customs declaration is required, and the customs brokerage firm also requires international transshipment. Therefore, it's essential to clarify the upstream international transshipment vessel schedule. The cargo must be loaded into the container 4 days before the small vessel departs. The upstream party assumes the small vessel bill of lading, but we need to confirm whether the customer wants a small vessel or a large vessel bill of lading. The difference between the small vessel and large vessel bill of lading is the departure time, port of departure, and vessel name and voyage number (this is the short-range port of departure location, as opposed to the location for the larger vessels). Documents required: When issuing the Certificate of Origin (CO), no copy of the bill of lading is needed; the client only wants to see the departure date.
