Full Container Load (FCL) Export Process

  1. Firstly, confirm the freight rates and corresponding shipping schedules.

Ensure pricing details are thorough to avoid disputes after placing an order. Clarify the deadline for shipment schedules to prevent missing material补充 time due to errors or other issues. If uncertain, inquire with the shipper, or confirm with the supplier whether it's a full container or LCL, if branded, and the dimensions and purpose.

2. Booking a shipment

When a customer decides to ship to Africa by sea, they should start booking a container. Have the business assist the customer in filling out an order bill of lading, then book a container with the supplier based on the customer's information. Booking details: port of departure, port of destination, name of goods, weight, volume, which shipping company, which wharf for departure, the deadline for the ship's departure, what type of container, method of payment, freight and additional charges, etc. The more detailed these pieces of information are, the better. The issued document is a Sales Order (SO), and the container loading usually occurs two days before the deadline for the ship's departure.

3. Trailer

Pickup of containers requires warehouse time after customs clearance, with the warehouse time being 7 days prior to the deadline. A Sales Order (SO) is required for container loading, and the SO number must be provided to the customer or the trucking company upon arrival. The customer needs to provide the loading time, location, and contact person. After filling out the shipping order with the provided information, it should be given to the trucking company. On the day of container loading, the trucking company will provide the container number, seal number, driver's mobile phone number, and license plate number. This is collectively referred to as the driver's information. After receiving it, send it to the customer for easy coordination with the driver. Remind the driver to weigh the cargo.

4. Customs Declaration

Before loading the container, remind the customer to provide a detailed packing list for confirmation by the customs broker. After the container is loaded, provide the customer with an accurate and detailed packing list and remind them of the necessary documents to prepare, to avoid informing them at the last minute during customs clearance. If the customer is unsure how to handle the packing list, provide a form for them to fill out, which will facilitate our giving suggestions and opinions. If the customer's goods are very diverse, remind them to select the important and abundant items. If the customer does not have the HS code, ask them to inquire abroad about which items are easier to clear customs.

5. Material Replenishment

The material supplement time can be conducted simultaneously with customs declaration. After the container is loaded, the customer needs to fill out the material supplement form, reminding them to write in English and that any errors must be corrected, as it will incur additional fees for amendment. Some freight forwarding companies can provide the filled-out form for customer verification. Material supplement information form: In addition to the bill of lading, the Shanghai Customs Code form is required. The customs code can be self-verified. Notes: The bill of lading does not display this information. If the shipment is collect, and the user needs to use a letter of credit to pay for the shipping fees, the name on the bill of lading must match the name on the letter of credit. The user may also inquire about whether certain information should be filled out on the bill of lading. These details can be checked with the shipper or the previous party to see if they can be displayed on the bill of lading or in the commodity name section. The material supplement must include a postal code. Confirm with the customer that everything is correct before submitting. An important point is to verify the bill of lading confirmation. All information must be checked letter by letter to avoid losses. Also, send a copy to the customer for verification. Once both parties have verified, submit the confirmation. Remind the user to issue the original based on this.

6. Invoice Preparation

Await invoice issuance, prepare the customer's invoice, and inquire whether they prefer to pay personally or through a corporate account. Be meticulous when preparing the invoice; ensure no discrepancies. We will only arrange payment to the supplier after the customer has made their payment. Mail the original upon receipt, and then you can prepare the profit and loss statement. This concludes the transaction.

Barge

If the goods are from Guangzhou, there will be issues with barge transportation, as the barge needs to be shipped on an international transshipment vessel. With international transshipment, only one customs declaration is required, and the customs brokerage firm also requires the use of an international transshipment vessel. Therefore, it's important to clarify the upstream international transshipment schedule. The cargo must be loaded into the container 4 days before the small vessel departs. The upstream party assumes the small vessel bill of lading, but we need to confirm whether the customer wants the small vessel's bill of lading or the large vessel's bill of lading. The difference between the small vessel's and large vessel's bill of lading is the departure time, port of discharge, and vessel name and voyage number (this refers to the short-range port of discharge location, versus the location for the large vessel). Documents required: When processing the Certificate of Origin (CO), no bill of lading copy is needed; the customer only wants to see the departure date.
