Full Container Load (FCL) Export Process

  1. Firstly, confirm the freight rates and corresponding shipping schedules.

Be sure to confirm prices in detail to avoid disputes after placing an order. Be clear about the deadline for shipping schedules to prevent missing the time for making up goods due to errors or other issues. In case of uncertainty, ask the shipper or clarify with the supplier whether it's a full container or loose cargo, if there's branding, dimensions, usage, etc.

2. Booking a Container

When a customer decides to ship goods to Africa by sea, they should start booking a container. Have the business assist the customer in filling out an order bill of lading, then book a container with the supplier based on the customer's information. Booking details include: port of departure, port of destination, commodity name, weight, volume, which shipping company, which wharf for departure, the ship's closing date, type of container, method of payment, freight and additional charges, etc. The more detailed these pieces of information are, the better. The document issued is a Sales Order (SO), and the container is usually loaded two days before the closing date.

3. Trailer

Receiving Containers Requires Warehouse Opening Time After Cut-off Date; Warehouse Opening Time: 7 Days Before Cut-off Date. A Sales Order (SO) is required to load containers; provide the SO number to the customer or trucking company upon arrival. The customer needs to provide loading time, location, and contact person. After filling out the delivery slip based on the provided information, provide it to the trucking company. On the day of loading, the trucking company will provide the container number, seal number, driver's mobile phone number, and license plate number. This is collectively referred to as the driver's information. Send it to the customer after receiving it to facilitate meeting the driver. Remind the driver to weigh the load.

4. Customs Declaration

Before loading the container, remind the client to provide a detailed packing list for confirmation by the customs broker. After the container is loaded, provide the client with an accurate and detailed packing list and remind them of the required documents to avoid delays at customs. If the client is unsure how to handle the packing list, offer a form for them to fill out, which will facilitate our suggestions and feedback. If the client's goods are diverse, advise them to select the important and abundant items. If the client doesn't have the HS codes, suggest they inquire abroad about which items are easier to clear customs.

5. Raw Material Replacement

The replenishment time can be concurrent with customs clearance. After the container is loaded, the customer needs to fill out the replenishment form, and we remind them to write in English and that no mistakes can be made; any errors require a change and will incur a fee for the amendment. Some freight forwarders can provide the completed form for the customer to verify. Replenishment documents include the Bill of Lading and the Customs Code form, which can be self-queried. Notes: The Customs Code is not displayed on the Bill of Lading. If it's collect on delivery, and the user needs to use a letter of credit to pay for the shipping fees, the name on the Bill of Lading must match the one on the letter of credit. The user may also inquire about whether to fill in certain information on the Bill of Lading, etc. These details can be consulted with the shipper or the supplier to see if they can be displayed on the Bill of Lading or in the product name section. The replenishment form must include a postal code, and after confirming with the customer that there are no issues, it can be submitted. An important point is to verify the confirmation copy of the Bill of Lading; all information must be checked letter by letter to avoid losses. Also, send a copy to the customer for verification. Once both parties have verified, submit the confirmation. Remind the user to issue the original based on this.

6. Invoicing

Wait for the invoice to be issued, prepare the customer's invoice, and ask whether they will pay personally or through the company. Be meticulous when preparing the invoice; don't undercalculate. We must wait for the customer to make the payment before arranging payment to the supplier. Mail the original invoice upon receipt, then prepare the profit and loss statement, and the order is then closed.

Barge

If the goods are shipped from Guangzhou, there will be issues with barge transportation. The barge needs to take an international transshipment vessel, as with international transshipment, only one customs declaration is required. The customs brokerage also requires the use of an international transshipment vessel, so you need to clarify the upstream transshipment vessel schedule. For container loading, it must be completed 4 days before the small ship departs. The upstream party assumes the small ship's bill of lading, but we need to confirm whether the client wants the small ship's bill of lading or the large ship's bill of lading. The difference between the small ship's bill of lading and the large ship's bill of lading is the departure time, port of loading, and vessel name/voyage number (this is only the short-range loading port location, and not the location of the large ship). For documentation: When issuing the Certificate of Origin (CO), no copy of the bill of lading is required; the client just wants to see the departure date.
