Full Container Load Export Process

  1. Firstly, confirm the freight rates and corresponding shipping schedules.

Ensure detailed price confirmation to avoid disputes after placing an order. Be clear about the ship date cutoff to prevent missing the material supplementing time due to errors or other issues. Inquire with the shipper or clarify with the supplier whether it's a full container load or a loose cargo, whether there's branding, size, usage, etc., when unsure.

2. Booking a shipment

When a customer decides to ship to Africa by sea, they should start booking a container. Have the business assist the customer in filling out an order bill of lading, then book a container with the supplier based on the customer's information. Booking details: port of departure, port of destination, name of goods, weight, volume, which shipping company, which wharf for departure, the deadline for the ship's departure, what type of container, method of payment, freight and additional charges, etc. The more detailed these pieces of information are, the better. The document issued is a Sales Order (SO), and the container is usually loaded two days before the deadline for departure.

3. Trailer

To pick up the container, an unloading time must be arranged, which is 7 days prior to the closing time. A Sales Order (SO) is required to load the container, and the SO number must be provided to the customer or the trucking company upon arrival. The customer needs to provide the loading time, location, and contact person. After filling out the shipping order based on the provided information, it should be submitted to the trucking company. On the day of loading, the trucking company will send the container number, seal number, driver's mobile phone number, and license plate number. This information is collectively referred to as the driver's details. Upon receiving it, send it to the customer to facilitate meeting the driver. Remind the driver to weigh the cargo.

Customs Declaration

Prior to loading, remind the customer to provide a detailed packing list for confirmation by the customs broker. After the container is loaded, provide the customer with an accurate and detailed packing list, and remind them of the necessary documents to prepare to avoid last-minute issues during customs clearance. If the customer is unsure how to handle the packing list, offer a form for them to fill out, which will facilitate our providing suggestions and feedback. If the customer's goods are diverse, advise them to select the important and abundant items. If the customer doesn't have the HS code, suggest they inquire abroad about which goods are easier to clear customs.

5. Raw Material Supply

The material replenishment process can be concurrent with customs declaration. After the container is loaded, the client needs to fill out the material replenishment form, and we remind them to write in English and ensure accuracy, as any errors will require a correction fee. Some freight forwarding companies can provide the filled-out form for client verification. The material supplement form requires the submission of the customs code table, which can be self-investigated. Notes: the customs code is not displayed on the bill of lading. If the shipment is collect, and the client needs to use a letter of credit to pay for the shipping fees, the name on the bill of lading must match the name on the credit. Clients may inquire about whether certain information should be included on the bill of lading, which can be consulted with the shipper or the previous supplier to see if it can be displayed on the bill of lading or in the commodity name section. The material replenishment must include a postal code, and after confirming with the client that there are no issues, it can be submitted. An important point is to verify the bill of lading confirmation, ensuring all information is checked letter by letter to avoid loss. A copy for client verification should also be sent. Once both parties have verified, the confirmation can be submitted. Remind the user to issue the original based on this confirmation.

6. Invoicing

Await invoice issuance, prepare the customer's invoice, and inquire whether they will pay via personal or corporate account. Be meticulous when preparing the invoice; ensure no miscalculations. We will only arrange payment to the supplier after the customer has made their payment. Mail the original invoice upon receipt, and then you can prepare the profit and loss statement. This concludes the transaction.

Barge

If the goods are from Guangzhou, there will be issues with barge shipping. The barge needs to be transported by an international transshipment vessel, as only one customs declaration is required for international transshipment. The customs brokerage firm also requires international transshipment. Therefore, it's important to clarify the upstream transshipment vessel schedule. The cargo must be loaded into the container 4 days before the small vessel departs. The upstream party assumes the small vessel bill of lading, but we need to confirm whether the customer wants a small vessel or a large vessel bill of lading. The difference between the small vessel and large vessel bill of lading is the sailing time, port of discharge, and vessel name and voyage (this is the short-distance port of discharge location, versus the barge's location). Documents required: When preparing the Certificate of Origin (CO), a copy of the bill of lading is not needed. The customer only wants to see the sailing date.
