Full Container Load (FCL) Export Process

  1. Firstly, confirm the freight rates and corresponding shipping schedules.

Ensure detailed price confirmation to avoid disputes after placing an order. Be clear about the deadline for shipment schedule to prevent missing the time for supplementary materials due to errors or other issues. In unclear situations, inquire with the shipper or clarify with the supplier whether it's a full container load or a loose cargo, if there's a brand, dimensions, usage, etc.

2. Booking a shipping space

When the customer decides to ship to Africa by sea, they should start booking the cargo space. Have the business assist the customer in filling out an order bill of lading, then book the cargo with the supplier based on the customer's information. Booking information includes: port of departure, port of destination, name of goods, weight, volume, which shipping company to book, which wharf to depart from, the ship's closing date, what type of container, method of payment for freight, freight charges, and additional fees, etc. The more detailed these pieces of information are, the better. The issued document is a Sales Order (SO), and the containers are usually loaded two days before the closing date.

3. Trailer

Picking up the container requires warehouse opening time, which is 7 days before the closing time. A Sales Order (SO) is required to load the container, and the SO number must be provided to the customer or the trucking company upon arrival. The customer needs to provide the loading time, location, and contact person. After filling out the trucking order based on the provided information and providing it to the trucking company, the trucking company will send the container number, seal number, driver's mobile phone number, and license plate number on the day of loading. This is collectively referred to as the driver's information. After receiving it, send it to the customer for ease of meeting the driver. Remind the driver to weigh the cargo.

4. Customs Declaration

Before loading the container, remind the customer to provide a detailed packing list for confirmation by the customs broker. After the container is loaded, provide the customer with an accurate and detailed packing list. Remind the customer of the necessary documents to prepare, and avoid informing them at the last minute during customs clearance. If the customer is unsure how to handle the packing list, provide a form for them to fill out, which will facilitate our giving suggestions and opinions. If the customer's goods are very diverse, remind them to select the important and abundant items. If the customer doesn't have a customs code, ask them to inquire abroad about which items are easier to clear customs.

5. Make-up Material

The material replenishment can be done concurrently with customs declaration. After the container is loaded, the customer needs to fill out the material replenishment form. Remind the customer to write in English and emphasize that no mistakes can be made while filling out; any errors will require a correction fee. Some freight forwarding companies can provide the completed form for customer verification. Material supplement form: In addition to the bill of lading, a customs code form must also be submitted. The customs code can be self-verified. Note that the customs code will not be displayed on the bill of lading. If the shipping charges are collect, and the user needs to use a letter of credit to pay, the name on the bill of lading must match the name on the letter of credit. The customer may also inquire about whether to fill in certain information on the bill of lading. These details can be consulted with the shipper or the previous supplier to see if they can be displayed on the bill of lading or in the product name column. The material supplement must include a postal code. Once confirmed with the customer, submit the form. An important point is to verify the bill of lading confirmation; all information must be checked letter by letter to avoid losses. Also, send a copy to the customer for verification. Once both parties have verified, submit the confirmation. Remind the user to issue the original document accordingly.

6. Invoice Processing

Wait for the invoice to be issued, prepare the customer's invoice, and ask whether they will pay through personal or corporate accounts. Be meticulous when preparing the invoice; don't undercalculate. We will only arrange payment to the supplier after the customer has made the payment. Mail the original invoice after receiving it, and then you can prepare the profit and loss statement. That's how we close the order.

Barge

If the goods are shipped from Guangzhou, there will be issues with barge transportation. The barge needs to be transported on an international transshipment vessel, as only one customs declaration is required for international transshipment. The customs brokerage firm also requires the use of an international transshipment vessel, so it's important to clarify the upstream transshipment vessel schedule. For container loading, it must be completed 4 days before the small vessel departs. The upstream party assumes the small vessel bill of lading, but we need to confirm whether the customer wants a small vessel or a large vessel bill of lading. The difference between the small vessel and large vessel bill of lading is the departure time, port of discharge, and vessel name/voyage number (this is the discharge port for short-haul, versus the transshipment point for the larger vessels). For documentation: When processing the origin certificate CO, no bill of lading copy is required; the customer only wants to see the departure date.
